How hiring in Poland works
- Order and documents. The employer needs a signed order and a draft employment contract — since 2025 the contract must be uploaded before the worker starts, and permits are tied to an employment contract rather than civil-law contracts for most roles.
- Sourcing (2–6 weeks). In-person interviews and trade tests in the source country; shortlist with videos.
- Work permit application. Filed by the employer, exclusively online via praca.gov.pl, with the voivode of the region where the company is based. There is no longer a 'starosta information' labour-market test. Statutory decision time is 30 days; in practice 4–12 weeks depending on the office.
- Visa. The worker books a consular appointment for a national (D) visa. In India appointment availability can add weeks, so we start scheduling as soon as the permit is filed.
- Arrival. Registration, PESEL number, bank account, and any local certification (forklift, safety). Employers must notify the office if the worker does not start within 2 months.
Compliance matters more since 2025. Fines for illegal employment can reach PLN 50,000, and employers must report changes promptly. ManBe files everything through the electronic system and keeps the audit trail.
